By Shivam Brahmbhatt · · 2 min read

You do not need to be technical to get useful results from an AI tool. Clear instructions do most of the work.

A simple structure

  • Role: who the assistant should act as.
  • Task: exactly what you want done.
  • Context: the facts it needs, such as who the audience is and your tone.
  • Format: the shape of the output: a short email, three bullets, a table.
  • Limits: what to avoid or never invent.

An example

"You are helping a small plumbing company. Draft a polite text reply to someone who called while we were on a job. Keep it under 40 words, ask what they need help with, and do not promise a time or a price."

Habits that help

  • Give examples of the tone you want.
  • Ask it to say when it is unsure instead of guessing.
  • Iterate: refine the draft instead of starting over.
  • Always check facts, names, numbers and dates yourself.

What not to paste

Avoid pasting sensitive customer data, passwords, financial details or confidential documents into a tool unless you understand where the data goes. See the privacy checklist. See the privacy checklist.

When prompts are not enough

If you repeat the same task daily, an automation that does it for you may save more time than a perfect prompt. See five workflows to automate first.

Another example: a follow-up email

"You are the office manager of a small plumbing company. Write a three-sentence, friendly follow-up to a customer who received a quote last week and has not replied. Do not mention discounts. Plain text, no emojis." Read the result, check every fact, and edit before sending.

Common questions

Do I need special wording?

No. Plain, specific instructions work best.

Can I trust the output?

Treat it as a draft and verify it. See AI hallucinations.
