How much does AI automation cost for a small business?
There is no single price for AI automation, because the range of work is wide. A missed-call text-back and a multi-system data migration do not belong on the same price line. Here is what actually drives cost, and how to compare quotes fairly.

What drives the cost
- Scope. One automation, a connected set of workflows, or an ongoing partnership.
- Number of systems involved. Each tool that has to be connected adds integration and testing work.
- Data condition. Messy, duplicated or scattered data takes time to clean before it can be automated.
- Ongoing support. Monitoring, changes and new automations over time versus a single hand-off.
What drives the price of an AI automation project
Swaha AI does not publish a price list, because two projects that sound similar can involve very different amounts of work. These are the factors that move a quote up or down, so you can see why and ask better questions of any provider.
- Scope and number of workflows. One automation, such as a missed-call text-back, is a small project. Five connected workflows, each with its own rules, exceptions and testing, is a bigger one.
- Number of tools and integrations. Every system that has to exchange information, such as phone, CRM, calendar, accounting or scheduling software, adds setup, permissions and testing. Some tools connect easily and some do not.
- Data cleanup and migration. Duplicate contacts, inconsistent fields and information scattered across spreadsheets must be sorted out before they can be automated reliably.
- Volume and complexity. A flow that handles a handful of requests a day is simpler than one that must cope with busy-season spikes, many locations or several service lines.
- Compliance and privacy needs. If customer or patient information is involved, there is more care to take over what is stored, who can see it and what should not be automated at all. See the customer data privacy checklist.
- Ongoing run and monitoring versus a one-time build. A single build with a handoff is a different commitment from ongoing monitoring, changes and new automations as your needs develop.
- Human-review steps. Approval points, testing with sample cases and sign-off before launch take time, and they are what keep an automation from sending the wrong thing to a customer. See why every automation needs review.
How we quote
Every quote starts with a free, plain-English conversation about what you do today. We then write down the scope, what is included and what is not, the timeline and the price, and you see it before any work starts. There is no obligation in the free read or the quote. To start, call or text (904) 293-3040 (text us), or request a free read.
Three common shapes of engagement
- A single fix. One automation, often scoped for about a week once access is in place.
- A project. A migration, CRM setup or several connected workflows, with a timeline in the written quote.
- An ongoing partnership. A roadmap, regular check-ins and new automations as needs appear, instead of hiring an Ops Manager.
How to compare quotes
- Get the scope in writing, including what is not included.
- Ask who tests the work and what happens if something breaks later.
- Check whether the quote is fixed, hourly or open-ended.
- Ask what you own at the end: accounts, data, documentation.
How Swaha AI quotes

Common questions
Why is there no price list?
The range of work is wide, so each engagement is scoped to what it involves and quoted in writing before any work starts.
Is anything priced differently?
The AI & Ops Readiness Audit is fixed-price and advisory time is hourly. Builds are scoped and quoted.
